Cancellation Policy
1. The information mentioned in this document includes but is not limited to any activities sponsored by the Association or provided by the Association, including but not limited to teams, experiences, training, competitions, etc. When confirming the activity, the Association will charge 50% of the scheduled project fee before the activity or the full fee after the activity is completed according to the type of organization/participant.
2. Once the organization/participant accepts the invoice and confirms the event, it is deemed to understand and agree to abide by all terms and conditions. The Association reserves the right to change the terms and conditions at any time without prior notice, and the changes will also apply to new or existing organizations/participants. The Association reserves the right to modify, change or suspend the activities. In case of dispute, it shall be based on the relevant regulations or interpretations of the Association and may be supplemented at any time.
3. If you plan to cancel the event after confirming the event, you will choose to re-hold the event on another date according to the situation; or after deducting the relevant administrative costs from the paid fees; or there is no refund of the paid deposit. Please refer to the list below:
Cancellation more than seven days before the event
If already paid: 30% administrative fee can be deducted, and the balance will be refunded
If not paid: pay 10% of the activity fee as administrative fee.
Cancellation three to seven days before the event
If paid: the paid fee will not be refunded, and other dates can be arranged according to the situation.
If not paid: pay 30% of the activity fee as administrative fee.
Cancellation less than three days before the event
If paid: Fees paid are non-refundable.
If not paid: pay 50% of the activity fee as administrative fee.
4. The Association has the right not to accept postponement and refund requests for any reason, including (but not limited to) illness, injury, insufficient number of people and other reasons. Organizations/participants are responsible for reading this clause before making payment, and understand and bear the relevant risks by themselves. Once the payment is successful, all bookings will not be changed and the payment will not be refunded.
5. If the activity is canceled due to bad weather or other force majeure factors, the Association will have the opportunity to make postponement arrangements according to the actual situation. All postponed places need to be used within half a year from the date of event cancellation. If the organization/participant fails to arrange the event before the deadline, the association will not make additional compensation, and the organization/participant shall not refund the money under any circumstances.
6. If an extension is required due to the above reasons, the organization/participant can discuss with the Association the date and time of the extension agreed by both parties, but it can only be changed once, and an administrative fee will be charged for each subsequent change, or it will not be processed. Even if the content and arrangement of the event are changed, the event fee will not be reduced or exempted.
7. If the organization/participant is late or does not attend as scheduled: the event will be automatically canceled if the event is overdue for more than 15 minutes or more from the original scheduled time. There will be no waiting and/or temporary rescheduling. Refund and extension arrangements. Full payment for the activity is required.
8. If there is any conflict or inconsistency between the Chinese and English versions, the Chinese version shall prevail.
